Receptionist/Events Administration – Cambridge

Role Overview

  • To provide a professional reception, front of house and administrative service for Price Bailey. The post-holder will be part of the Professional Support team who provide administrative assistance to all departments across the practice.
  • To organise events for the Cambridge office
  • To deliver high standard of administrative support and world class customer service in line with Price Bailey strategies, policies and procedures

 

Principle Responsibilities:

Reception:

  • To answer calls to main switchboard promptly and courteously and to convey accurate messages in accordance with agreed procedures
  • To greet and attend to visitors according to agreed procedure, providing refreshments as required
  • To ensure that reception, the foyer, meeting rooms and common areas are tidy and well presented
  • To draft and format correspondence
  • To plan ahead, to check calendars and be aware of expected visitors and meetings and make preparations accordingly
  • To ensure meeting rooms are prepared for start of meeting and cleared afterwards
  • To plan ahead for larger meetings – catering, equipment and layout requirements
  • To assist with the incoming and outgoing post

Events and Admin:

  • To organise events including seminars, hospitality and networking events
  • Database administration including setting up new clients and contacts, updates, generating mailing lists and processing lost clients
  • To manager with local mailings as required
  • To print and issue VAT invoices
  • To draft routine correspondence as directed
  • To undertake routine, non-urgent typing and other administrative duties as required
  • To manage archiving of files

 

Person Specification:

Work based competencies:

  • Min of 3 GCSEs or equivalent including English Language and Mathematics
  • Word and Outlook to Intermediate Level
  • Front of House experience with excellent customer service and telephone manner
  • Experience in working within the professional services sector
  • Organised and able to provide high quality work in accordance with Price Bailey standards
  • Excellent planning, organisational and time management skills

  • Professional appearance
  • Able to use good judgement and initiative, particularly in response to the prioritisation of deadline dependent work
